5 mistakes that make you lose inbound calls (and how to fix them)

Most lost calls do not come from understaffing, but from badly configured phone rules. Here are the five most frequent mistakes.

1. An automated menu that is too long

Past three options, the caller mentally checks out. Shorten the menu, or have a human answer directly during peak hours.

2. No overflow rule

When all your lines are busy, the call must go somewhere — not die on a tone. Conditional forwarding to a call center solves this with one setting.

3. Nothing after 5 p.m.

Emergencies happen in the evening and overnight. With no phone on-call coverage, you let available competitors collect your customers while you sleep.

4. Messages that get lost

A message on a sticky note or in an unchecked voicemail box is a lost message. Structure delivery: email, SMS, and CRM entry.

5. No data on your calls

Without reporting, you cannot know how many calls you miss, at what time and for what reason. A call dashboard almost always reveals an ignored source of revenue.
