Protecting your personal information

This policy explains how Kewix Télécommunication Inc. collects, uses, discloses and protects personal information, in accordance with Quebec's Law 25 and Canada's PIPEDA.

1. Privacy officer

2. Information we collect

  • Website forms : name, company, email, phone number, industry and the details of your quote or meeting request.
  • Calls handled for our clients : as an inbound answering provider, we process information supplied by our clients' callers on their behalf (name, contact details, reason for the call) and, where the mandate provides for it, call recordings.
  • Technical data : IP address, browser type, pages visited, and UTM parameters or ad identifiers when you arrive from an advertisement.

3. Why we use it

  • Respond to your quote, booking and support requests.
  • Deliver the call answering service according to the procedures agreed with the client.
  • Bill for services and keep our accounting records.
  • Improve the website, measure campaign performance and prevent fraud.

We never sell your personal information and we do not use it for unsolicited marketing without your consent.

4. Consent

We obtain your free and informed consent for specific purposes at the time of collection. You may withdraw your consent at any time by writing to us; doing so may limit our ability to provide certain services.

5. Third parties and hosting

We use suppliers for hosting, telephony, transactional email and CRM integration. These suppliers are bound by contract and may only use the information to perform their mandate. Our operational data is hosted in Canada. Where processing outside Quebec is required, we complete a privacy impact assessment as required by Law 25.

6. Retention and destruction

Information is kept only as long as necessary for the stated purposes or to meet our legal obligations, then securely destroyed or anonymized. Call recordings, where they exist, follow the retention schedule agreed with the client.

7. Security measures

  • Encryption in transit and at rest.
  • Need-to-know access restrictions with access logging.
  • Non-disclosure agreement signed by every agent, plus confidentiality training.
  • Confidentiality incident response procedure and register, as required by Law 25.

8. Your rights

You have the right to access your information, have it corrected, withdraw your consent, request that its dissemination cease and, where the law provides, obtain it in a structured, commonly used technological format. We respond within 30 days of your written request.

If our answer does not satisfy you, you may file a complaint with the Commission d'accès à l'information du Québec.
